Privacy policy

How Hyveminds Pty Ltd collects, uses, stores and discloses personal information across this website and our products.

Who we are

Hyveminds Pty Ltd ("Hyveminds", "we", "us") is an Australian research-software studio and a Per Capita venture, based in Naarm / Melbourne, Victoria. We are the entity responsible for the personal information described in this policy. You can reach us at hi@hyvemindsgroup.com.

What this policy covers

This policy covers hyvemindsgroup.com and the Hyveminds products listed on it. Some products are operated jointly with a partner institution — where that is the case, the partner's own privacy policy also applies and the product will tell you so at sign-up. Products hosted on a partner domain, including Lexis at lexis.percapita.org.au, are governed by that partner's policy.

What we collect

This website

This site sets no cookies, runs no analytics, embeds no third-party scripts, fonts, or trackers, and makes no requests to any external host. We do not build a profile of you and we cannot follow you across other sites. Our web server keeps standard access logs — IP address, timestamp, requested URL, user agent, response code — for security and diagnostics. Logs are retained for 30 days and then deleted.

When you contact us

If you email us or request beta access, we collect your name, email address, organisation and whatever you choose to put in the message. We use it to answer you and to keep a record of the conversation. We do not add you to a marketing list unless you ask.

In our products

Product accounts collect the information needed to run the product: an identifier, an email address, and the content you create or upload. Research content — transcripts, datasets, simulation scenarios, reading records — belongs to you or your institution, not to us. We process it to provide the product and for no other purpose.

What we do not do

  • We do not sell personal information. There is no circumstance in which we would.
  • We do not use your research content, transcripts or datasets to train machine-learning models, ours or anyone else's, unless you explicitly opt in per project.
  • We do not share personal information with advertisers or data brokers.

How we use it

To provide and support the products; to respond to enquiries; to keep systems secure and diagnose faults; to meet legal obligations; and, in de-identified and aggregated form, to report on programme outcomes to the partners who fund the work. Aggregate reporting never identifies an individual.

Who we disclose it to

To service providers who host or operate our infrastructure, bound by contract to use it only for that purpose; to your institution, where your account was created under an institutional agreement; and to a regulator, court or law-enforcement agency where we are legally required to. Our primary hosting and data storage is in Australia. Where a provider processes data offshore, we take reasonable steps to ensure comparable protection under Australian Privacy Principle 8.

Security

Traffic is encrypted in transit with TLS. Access to production systems is limited to staff who need it, and is logged. We review access quarterly. No system is perfectly secure; if a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.

Retention

We keep personal information only while it serves the purpose it was collected for, or while we are required to keep it by law. Server logs: 30 days. Enquiry correspondence: 2 years. Product accounts: for the life of the account, then deleted or de-identified within 90 days of closure.

Your rights

You can ask us for a copy of the personal information we hold about you, ask us to correct it, ask us to delete it, or complain about how we have handled it. Email hi@hyvemindsgroup.com and we will respond within 30 days. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or 1300 363 992.

Children

Several of our products are used in schools. Where a product is deployed for students, it is deployed under an agreement with the school or education authority, which is responsible for obtaining any consent required. We collect the minimum information needed to operate the product and never use student data for marketing.

Changes

We will post any change to this policy on this page and update the date above. Material changes affecting existing users will also be notified by email.
